With just over a month to go until The Breast Centre’s Strictly Top Dancer Final, we’ve been pondering the benefits of having a virtual assistant organise an event. Here are some of reasons to hire a virtual assistant for your special occasion.
A Virtual Assistant can:
1. Plan Your Event
Let’s start at the beginning- So you’ve got a rough idea about the type of event that you would like to throw but beyond that, you’re a little bit stuck. A virtual assistant can take the time you don’t have, to plan your event down to the last detail.
2. Find a Venue
There won’t be an event unless there’s somewhere to put it. A virtual assistant can find the perfect venue for your event and organise payment.
3. Invite Your Guests
A Virtual Assistant can set your event up on Eventbrite/Facebook and other event sharing platforms and invite your guests for you. They can also prepare and send out invitations via post and email, as well as following up over the phone.
4. Manage Responses
How many people are attending? Are they the right people? Do we need to invite more? These are all questions that a Virtual Assistant can find the answer to.
5. Manage Payment
A virtual assistant can manage all payments. This could be anything from ticket sales to invoicing to paying for staff on the night.
6. Promote Your Event
Most virtual assistants are well linked and already have a wealth of contacts to draw from when you want to promote your event. A virtual assistant can design and distribute flyers (via post, mailchimp or email campaigns) as well as promote your event across social media channels such as Facebook, Twitter and LinkedIn.
7. Arrange Transport/ Accommodation
How will your guests be getting to the event? A Virtual Assistant can book coaches, trains or taxis and can also arrange accommodation for your and your guests if required.
8. Find a Caterer
Finding the right caterer for the right price and be a huge chore. Luckily, a virtual assistant will already have experience in this area and can negotiate a good price for you.
9. Offer ‘On The Night’ Support
A good virtual assistant won’t abandon you in your hour of need. They can be at your event to welcome guests, liase with staff and speakers and generally make sure that your event runs smoothly.
10. Follow Up
It’s not over yet! The event may have finished but there’s still plenty to do! A virtual assistant can arrange thank you letters and gifts.. They can also create and distribute a questionnaire to guests and gather feedback.
All in all, a virtual assistant can dedicate the time that you don’t have, to ensure that every detail of your event has been well organised and runs without a hitch!
