With just over a month to go until The Breast Centre’s Strictly Top Dancer Final, we’ve been pondering the benefits of having a virtual assistant organise an event. Here are some of reasons to hire a virtual assistant for your special occasion.

A Virtual Assistant can:

1.  Plan Your Event

Let’s start at the beginning- So you’ve got a rough idea about the type of event that you would like to throw but beyond that, you’re a little bit stuck. A virtual assistant can take the time you don’t have, to plan your event down to the last detail.

2. Find a Venue

There won’t be an event unless there’s somewhere to put it. A virtual assistant can find the perfect venue for your event   and   organise payment.

3. Invite Your Guests

A Virtual Assistant can set your event up on Eventbrite/Facebook and other event sharing platforms and invite your guests for you. They can also prepare and send out invitations via post and email, as well as following up over the phone.

4. Manage Responses

How many people are attending? Are they the right people? Do we need to invite more? These are all questions that a Virtual Assistant can find the answer to.

5. Manage Payment

A virtual assistant can manage all payments. This could be anything from ticket sales to invoicing to paying for staff on the night.

6. Promote Your Event

Most virtual assistants are well linked and already have a wealth of contacts to draw from when you want to promote your event. A virtual assistant can design and distribute flyers (via post, mailchimp or email campaigns) as well as promote your event across social media channels such as Facebook, Twitter and LinkedIn.

7. Arrange Transport/ Accommodation

How will your guests be getting to the event? A Virtual Assistant can book coaches, trains or taxis and can also arrange accommodation for your and your guests if required.

8. Find a Caterer

Finding the right caterer for the right price and be a huge chore. Luckily, a virtual assistant will already have experience in this area and can negotiate a good price for you.

9. Offer ‘On The Night’ Support

A good virtual assistant won’t abandon you in your hour of need. They can be at your event to welcome guests, liase with staff and speakers and generally make sure that your event runs smoothly.

10. Follow Up

It’s not over yet! The event may have finished but there’s still plenty to do! A virtual assistant can arrange thank you letters and gifts.. They can also create and distribute a questionnaire to guests and gather feedback.

All in all, a virtual assistant can dedicate the time that you don’t have, to ensure that every detail of your event has been well organised and runs without a hitch!

If you have an upcoming an event that you would like help with, contact the Wize team on 02920 202 130 or email Cariann directly at cariann.jones@wizevirtualadmin.co.uk for more information.

Have you ever been interested in a product or service but when you've called up to learn more been confronted with an answering machine -or worse- just had an automated message asking you to call back later?

Annoying, isn't it?

As the first point of contact for most businesses, you want to make a really good impression over the phone and if your customer can't get through, they're probably not going to be customers for very long.

Did you know that  80% of all business communication happens over the phone ? In the age of the internet, you'd be forgiven for thinking that emails and social media have taken over but the fact remains that 'people like people'. New -and even existing- customers like to be reassured that they're dealing with a genuine company and the vast majority of your enquiries will be telephone based. That's a lot of potential customers you could be missing out on. In fact, roughly 85% of customers whose calls are not answered will not call back .

Furthermore,  60% of unhappy clients will take their business elsewhere because unless you are running a physical retail store, this phone call will be the customers most important experience with you -and they need to be impressed. It's for this reason that you need to ensure that no calls are left unanswered. Shockingly, it's estimated that businesses in the UK lose over £30 billion every single year due to missed calls.

So even if you're a small business, you never know when you could be missing out on that next big client.

How can Wize help?

We're a team of virtual assistants who provide small and medium businesses with a 'virtual' receptionist that can handle all your inbound calls. We'll answer calls and take a message, screen them or announce and forward them to you. We go above and beyond your everyday call answering service and can handle the call ourselves by taking messages, scheduling appointments or answering frequently asked questions so that your clients don't feel like they're talking to a robot with a script, but a real person.

Want to keep your customers happy? Give us a call on 02921 202 130 or email cariann@wizevirtualadmin.co.uk for more information.

We recently discussed the dangers of using your phone illegally when driving , not only to your safety and that of other motorists and pedestrians, but what has only recently been made clear , is that you can also risk losing your license by using your smartphone to pay a meal at a drive thru.

The standard fine for using a smartphone while driving is £200 and six penalty points on your licence, but if your case goes to court you could face a £1,000 fine.

As a small business, we understand the need for entrepreneurs and small business owners to keep themselves fed and watered, and paying at a drive thru using your smartphone may seem like second nature.

Here at Wize, we're always going above and beyond for our customers, taking care of the smaller tasks that sometimes slip through the cracks, as well as the big important ones -like making sure you get that Friday afternoon McFlurry.

Introducing... Take-a-Wize! We'll take care of your order, the purchase and even the delivery of your favourite takeaways, saving you time and hassle!

Speaking about the new service, Managing Director Cariann said:

"I could see that a gap had opened up in the market. We spend a lot of time with entrepreneurs and we know how much they love their fast food and their smartphones. Introducing this service will ensure that the two don't cost our customers fines or the loss of their license."

We'll be rolling the service out locally throughout the month. For more information, please give us a call on 02921 202 130.

Spring is a time for renewal and new possibilities which makes it the perfect time to clean up your small business with a few smart changes.

It's easy to focus on the bigger things and let the smaller tasks slide but you could be taking on too much. Trying to run every aspect of a business alone is a sure fire way to start missing deadlines and lose that all important work-life balance.

A lot of people may be put off by the thought of hiring a personal assistant to deal with the smaller (but essential) tasks of running a business as they can’t afford to hire someone full time, or even guarantee what hours their PA will be getting each week.

We can offer an alternative. Wize offers a great way of outsourcing some of those smaller tasks to relieve your workload as you can give us as little or as much work as you want and know you’ll get be getting the tasks done quickly and efficiently by a skilled team.

Some of the tasks we can help with are:

Diary management & organising meetings
Email management/ filtering
Screening calls
Travel & accommodation arrangements
Personal errands (purchasing cards/ gifts online)
Managing & updating social media accounts
Managing correspondents
Data entry
Bookkeeping (invoicing/ chasing payments)
Holiday cover

Additionally, we've got some great deals to help you celebrate the changing of the seasons and get your business into shape below, all for £20 per hour.

Penalties and fines for those using their mobile phone illegally when driving have been doubled to six points and a £200 respectively. New drivers face losing their licence the first time they are caught as licences will be revoked if a motorist receives six penalty points within their first two years on the road.

Research conducted by the RAC discovered that attitudes to mobile phone use behind the wheel has relaxed over the last couple of years, with those saying it was acceptable doubling from 7 per cent in 2014 to 14 per cent two years later.

As a small business, we understand the need to answer the phone or respond to an email when it may be a potential enquiry or new client especially if you're self employed, however, with the risk of fines, disqualification and -of course- your safety, there are better ways to ensure you don't miss that call.

If you know you're going to be unavailable, diverting your calls to a call answering service to pick up your messages could be just what you need.

For just 80p per call, Wize can answer your call, take a message or even handle enquiries.

For more information, email cariann@wizevirtualadmin.co.uk or give us a call on 02921 202 130.

It's that time of year again... Strictly Top Dancer is BACK and it's BIGGER than ever! We've shaken things up a little this year and instead of pairing a professional dancer up with one person we're giving them eight people EACH to whip up into a dancing formation team!

There will be eight teams of eight in total, meaning a staggering 64 non-professionals taking part, amazing! The bigger event calls for a bigger venue so on May 13th, the teams will be performing two dances each in front of over 400 people at the Swalec Stadium in Cardiff! (Little bit scary!)

The eight teams all comprise of people from local businesses including Welsh ICE, Creazione, Creditsafe, Thomas Carroll, SSE, Plas-Y-Felin Primary School and nurses from the Breast Centre itself!

Plus FOUR members of Team Wize -Becky P, Becky W, Laura and Rachel are teaming up with Briony, Gareth, Graham and Steve from fellow Welsh ICE business WRi to form dance squad WRize!  The team is coached by dancing pro Becky Long and have been practicing since before Christmas (check out some of their sweet moves below!)
